The type of data that we collect and process includes:

• Account Data: Your name or username and email address used to register.
• Minecraft Data: Your Minecraft username, UUID, and chat logs from the server.
• Discord Data: If you are a member of our Discord server, our community bot processes your Discord user ID, username and server roles. If you choose to link your Discord and Minecraft accounts, your Discord ID is stored together with your Minecraft UUID, your Minecraft username and the time the link was made. Content you deliberately submit through bot commands (such as bug reports, suggestions, votes and event sign-ups) is also stored, together with your Discord ID as its author. Our bot only receives messages that mention it; it does not receive, log or store any other Discord chat.
• Server Administration Records: When a role is added to or removed from a member, or a channel permission is changed, our bot keeps a record of who made the change and which member or role was affected. These records are used by staff to review moderation activity and are kept for a limited time (see section 4).
• Technical Data: Your IP address (recorded via website registration and server login) and technical information about the device you use.
• Donation Data: If you donate, we store transaction IDs, dates, and amounts.
  Note: We do not store credit card numbers or financial details locally; these are processed by our payment provider (e.g., PayPal).
• User Generated Content: Any information you voluntarily add to your profile (bio, location) or post on the forums.

We collect some or all of this information in the following cases:

• You register as a member on this site.
• You log into our Minecraft Game Servers.
• You join our Discord server or use our Discord bot commands.
• You fill out our contact form.
• You browse this site. See "Cookie policy" below.

We may use your personal information in the following ways:

• Service Provision: To register you as a member and allow you to contribute content to the site and build on the server.
• Communication: We may use your email address to inform you of activity on our site, or to send important announcements (you can opt-out of these). If you sign up for a tour or event in Discord and it is cancelled, the bot sends you a direct message with the reason.
• Community Automation: Our Discord bot uses member data and the commands you send it to link Discord and Minecraft accounts, grant in-game perks, synchronise supporter roles, show server status, and provide community features such as bug reports, suggestions and event sign-ups. The bot only acts on messages that mention it; all other conversations are never delivered to it.
• Moderation & Security: IP addresses and chat logs are recorded to prevent abuse, enforce our Rules, and protect the community from spam or harassment. This includes moderation records (such as warnings) and the role and permission change records kept by our Discord bot. Staff members can look up which Discord account is linked to which Minecraft account, and the reverse; other members cannot.
• Analytics: Non-personally identifiable information (browser type, device) is used purely for analytics to improve the website experience. None of the data we hold is used to train machine learning or AI models.

We do not sell your data. However, in the course of running a Minecraft community, some data interacts with third-party services:

• Minecraft & Mojang: By playing on our server, your username and skin are visible to other players. When you link your accounts, the bot asks Mojang's public profile service to confirm your Minecraft username and UUID.
• Dynmap: If you are online on the server, your in-game location and username may be visible on our public web-map (Dynmap).
• Discord: If you link your account to our Discord server, your Discord ID is stored to sync your rank and permissions. Linked account data (Discord ID, Minecraft UUID and Minecraft username) is shared between our own Discord bot and our own Minecraft servers to grant ranks and perks — it never leaves infrastructure we operate.
• Patreon: If you support us on Patreon and have connected your Discord account to Patreon, we receive from Patreon your Discord user ID, your membership status (active, former or declined), the tier you are entitled to, your current pledge amount, your lifetime support total and the date of your last charge. Our Discord bot uses this to assign supporter roles and passes the same data to our own Minecraft servers to grant in-game perks. The bot holds it in memory only and refreshes it from Patreon every hour; nothing from Patreon is written to disk by the bot.
• Payment Processors: Donations are handled by external providers (e.g. PayPal). We only see the confirmation of payment, not your private banking credentials.

We are committed to ensuring that any information you provide to us is secure. In order to prevent unauthorized access or disclosure, we have put in place suitable measures and procedures to safeguard and secure the information that we collect.

Data such as chat logs and IP history are retained for as long as is necessary to ensure the safety of the community and to handle ban appeals or moderation disputes.

Data held by our Discord bot (linked accounts, command submissions, event sign-ups, administration records and moderation records) is stored on our own private servers and is never shared with third parties. It is kept only for as long as it is needed:

• Linked account data is removed when you unlink your accounts.
• Role and permission change records are deleted automatically after 180 days.
• Bug reports, suggestions and events are kept while they are relevant to the community; you can have your name removed from them at any time (see section 6).
• Automated backups of the bot's data are kept for 30 days, after which anything you have deleted is gone from the backups as well.
• Other records are deleted on request where no legitimate security interest requires keeping them.

Cookies are small text files which are set by us on your computer which allow us to provide certain functionality on our site, such as being able to log in, or remembering certain preferences.

You have a right to access the personal data we hold about you or obtain a copy of it. To do so please contact us.

If you believe that the information we hold for you is incomplete or inaccurate, you may contact us to ask us to complete or correct that information.

Right to Erasure ("Right to be Forgotten"): You have the right to request the erasure of your personal data (such as account deletion). Please contact us if you would like us to remove your personal data. Note that some data (such as ban records) may be retained for legitimate security interests.

Discord self-service: In our Discord server you can act on your own bot-held data at any time by mentioning the bot (select it from Discord's suggestion list when you type @qBot):

• @qBot unlink removes your Discord–Minecraft account link and the in-game perks that depend on it.
• @qBot mydata forgetme removes everything else the bot holds about you: your account link, your votes and event sign-ups, your name as the author or assignee of bug reports, suggestions and events (the submitted text itself stays, shown as anonymous), and every role or permission change record that names you. Discord messages the bot posted earlier keep showing your name until the bot next updates them, and backups expire within 30 days as described above.

Supporter data received from Patreon is not held by the bot beyond its hourly refresh; to stop it being received, disconnect Discord from your Patreon account or end your membership on Patreon. For anything else, contact the staff team in Discord or via this site.

Continued use of our site signifies your acceptance of this policy. If you do not accept the policy then please do not use this site. When registering we will further request your explicit acceptance of the privacy policy.

We may make changes to this policy at any time. You may be asked to review and re-accept the information in this policy if it changes in the future.
